Instruction for church books indexing

Pomeranian church books indexing project is one of the main Pomeranian Genealogical Association activities as our members obligate to do for all genealogists over the world. We hope that increasing of number our Association will bring faster results in our project which takes pleasure for all researchers interested in these area.
Pomeranian church books indexing project is coordinated by Katarzyna Nalazek i Michał Wysocki (books of the Archiwum Panstwowego w Gdansku).

Main rules of indexing church books

Main remarks:

• We are indexing with using MS Excel sheet.
• Index must contain the information which is presented on our website at the minimum. All information should be written in a separate column.
• The majority of people who are indexing church books choose the parish which are interested in their research so as result of it they usually make more detailed index with a huge pleasure. For instance, they making notes about witnesses from marriage or godparents from baptism which helps to find information about our ancestors in various places. The same useful is the information about newlyweds parents from marriage record.
• Names and surnames are usually written in the form as it is the book. We do not translate it for contemporary versions. Surnames are written exactly as in the book are. It is especially important for maiden names. When the name is written in another case form then nominative it should be changed to nominative case form. It concerns the older books which were written in Latin. In the fact that the majority of our members is fluent in Latin we sometimes decide not to change the case form.
• Eventually we can translate names for forms nowadays used (but for?)
• As far as women are concerned there are two surnames, the name after husband (lack in the index because it is simply known from the context) and maiden name. Eventually the information about her previous husband name can be added in a separate column for instance in “uwagi” (additional data).
• If any field in the book is completely illegible or there is no such data we leave it clear.
• If a part of name or surname is illegible it should be replaced by question mark “?”.
  

Contain of shared fields

Parafia (Parish)

Nazwa miejscowości w której jest lub była parafia. Ewentualne miejscowości zamieszkania uczestników indeksowanych zdarzeń powinny się znaleźć w osobnych kolumnach.

Rok (Year)

W tym polu wpisujemy tylko rok. Jeśli już wprowadzamy bardziej szczegółową datę, to dzień, miesiąc i rok muszą być w osobnych kolumnach.

Nr aktu (Record number)

Istnieją dwie możliwości tego co ma się znaleźć w kolumnie "Nr aktu":

• Najlepszą opcją jest użycie numeru kolejnego wpisu w danym roku. Jest to bardzo jednoznaczne ale w niektórych księgach ta informacja jest niedostępna.
• Jeśli występuje brak numeracji aktów, to nie tworzymy własnej numeracji aktów, a wpisujemy datę zdarzenia, np. chrztu: 15.VI.

Nr zdjęcia (Photo number)

W tym polu wpisujemy numer zdjęcia z którego indeksujemy daną pozycję, tylko numer bez rozszerzenia, czyli np "000" a nie "0.jpg".

Płeć (Sex)

Sex of dead person "m" (for men) "k" (for woemen).

Panieńskie (Maiden name)

Maiden name of dead woemen.

Wiek (Age)

Age or birth date it depends on the book content.
